What data we process
- Demo request form: your name, work email address, the approximate number of properties you currently manage (as a range) and your preferred language for the demo. If you choose to provide them, also your company name and the tools you use today.
- If you contact us by email or telephone: the details you share with us in that conversation.
- Technical security data: when the production form handler is activated, we will also process limited technical data needed to protect it, such as the time of submission, request metadata (for example the IP address and browser information) and limited anti-abuse information.
- Website visits: delivering a web page necessarily involves processing your IP address and basic request information.
- Web server access logs: once this website is in production, our web server will record each request in an access log, which is stored in the server’s system journal. A log entry contains only your IP address, the date and time of the request, the requested page or file without any query parameters, the HTTP method, the response status, the size of the response and the time taken to process the request, together with technical details needed to interpret the entry (the website host name and the protocol version). The access log does not keep query parameters, request or response headers (such as your browser’s user agent, the referring page, cookies or authorisation data), the content of requests, or anything entered in the demo form.
The demo form on this website is not yet connected. It does not transmit or store anything you enter.
Why we process it
- To respond to the product information you ask for.
- To understand your needs as a prospective customer.
- To arrange and hold a demonstration you have requested.
- To take steps you ask for before a possible contract.
- To protect the future form endpoint from abuse and keep the website secure.
- To operate the website, keep it secure and diagnose faults, using the web server access logs.
We do not use your data for newsletters, profiling or advertising.
Legal bases
- Steps requested before a possible contract (Article 6(1)(b) GDPR): when you request a demonstration or information as an individual who may enter into a contract with us yourself.
- Legitimate interests (Article 6(1)(f) GDPR): when you contact us on behalf of a company or organisation, our legitimate interest in responding to and managing business enquiries. We also rely on legitimate interests to keep the website and the future form secure, to prevent abuse, and to keep web server access logs for security, fault diagnosis and the operation of the service.
- Legal obligations (Article 6(1)(c) GDPR): where the law requires us to process or keep data.
We do not rely on consent to handle a demo request, and reading this policy is not consent.
Required information
In the demo form, your name, work email address, the number of properties you currently manage and your preferred language are required. Without them we may be unable to respond to your request or arrange the demonstration. Company and current tools are optional.
How long we keep it
We keep demo-request information for no longer than three months after your request or our last substantive contact about the demonstration, whichever is later. After that it is deleted, unless:
- you become a customer, in which case the relevant information becomes part of your customer record;
- the law requires us to keep it for longer; or
- limited retention is necessary to establish, exercise or defend legal claims.
Web server access logs are kept in the server’s system journal for up to 30 days. They may be removed earlier, for example when the system journal reaches its size limit or when the server restarts. A specific log entry may be kept separately for longer only where it is needed for a documented security incident or to establish, exercise or defend legal claims, and only for as long as that requires.
Who receives your data
Service providers that support our hosting, email and technical operations may process personal data on our behalf, under appropriate agreements and only for those services. The current providers are:
- Oracle Cloud Infrastructure, which hosts the website and application infrastructure in the European Union.
- Microsoft 365, which we use for business email, including handling demo enquiries.
We may also disclose data to public authorities where the law requires it.
Transfers outside the EEA
If a service provider processes personal data outside the European Economic Area, Novoshore Europe SL will rely on an applicable adequacy decision or on appropriate safeguards under Chapter V of the GDPR, as relevant.
Your rights
Where applicable, you have the right to:
- access your personal data;
- rectify inaccurate data;
- have your data erased;
- restrict processing;
- object to processing based on legitimate interests;
- receive your data in a portable format;
- withdraw consent at any time, where we rely on consent for something optional.
To exercise these rights, write to hello@novoshore.com. We may ask you to confirm your identity where reasonably necessary.
You can also lodge a complaint with the Spanish Data Protection Agency (Agencia Española de Protección de Datos, AEPD): www.aepd.es.
Automated decisions
Demo requests are not subject to decisions based solely on automated processing that produce legal or similarly significant effects for you.
Cookies and local storage
This website does not set cookies and does not store information in your browser. It uses no analytics, advertising or profiling technologies. For that reason no cookie consent banner is shown.
We will review this policy, and ask for consent where required, before adding analytics or any other technology that is not strictly necessary.
Changes to this policy
We will update this policy when our processing changes, for example when the demo form is connected. The date at the top shows the current version.
